CareAxes MyDay (Rota Management System) is easy-to-use solution for planning, designing and managing customized staff schedules. This application has been specifically developed for hospitals which need to manage duties, leaves and holidays of their doctors, nursing staff and other technicians and support staff to achieve optimum staffing levels. It is most suitable for hospitals that have a presence in multiple locations (corporate hospitals), with departments out of main campus or multiple outpatient departments and diagnostics centers within the city.
CareAxes Rota Management System is capable of highlighting gaps where staff has not been allocated travel times between locations, active and non-active employees and avoid clashes in time, shifts and locations. It is a real-time planner that can be scheduled by an admin (HR or Team leader). The users are able to login and check the Rota. This program provides a graphical user interface that allows a user to input all information and store it electronically to exterminate the need for using paper records. It includes some of their personal information (i.e. name, ID no number, etc.)
1. ACRONYMS AND ABBREVIATIONS
•Admin/ Super User- The authority to create, schedule, activate and edit the Rota Management System. Generally can be the Human Resource Manager or Team Leader
•User- All other employees/ team members covered in the Rota
•Rota- CareAxes Rota Management System
2. USER ACCESS LEVELS
Admin Users are employees who have authority to create and edit an employee’s Rota information within the database. Users refer to employees who have permission to read their Rota records, but cannot alter it. Admin typically refer to those employees in the hospital who are either head a particular department or is Human Resource personnel in charge of staffing.
2.1 Using the CareAxes Rota Management System- Super User
As a new user to the CareAxes Rota Management System, we will create a specific URL for hosting your Rota. This will link to your Rota database hosted at our server.
A new admin login will be created for you. This account will be called the “Super User” or the Admin. Information regarding the designated Super User like name, surname, phone no etc will be populated here by us.
As a principle, all master controls of the Rota will be with the Super User. He can:
•Enter the categories and locations from where staff need to work
•Create and activate registered of employees on the Rota
•Schedule weekly Rota for each employee and assign them specific categories.
•Create monthly or yearly schedules for each employee in specific categories and locations
•Assign locations for duties and give work details for each employee.
•Populate and manage leaves and holidays in Rota.
2.1.1 Using the CareAxes Rota Management System- User
All employees on the Rota have access to the Rota condition to being activated (approved) to use it by the Super User. They can:
•Check their Rota or schedule
•Apply for leaves
•Check holiday schedule
•View category (department) wise duties.
Note: No employee can edit or change anything in the Rota.
